What a busy counter actually costs you

The bill takes longer than the sale

Hunting for an item in a dropdown with a queue watching is the reason most counters go back to a duplicate book on a Saturday evening. In KhataZone a scan puts the item and its rate on the line, and the rest of the bill is typed — quantity, discount, save. Items that come in without a printed barcode get a label you print yourself, so the loose stuff on the shelf scans like everything else.

One basket, and not one kind of goods in it

A retail bag is a bag of unrelated things — something to eat, something to clean with, something packaged, something loose — and whenever a basket like that crosses more than one rate, nobody at the counter can hold the right one for each of twenty lines in their head at billing speed. The bill works its own tax out, then rounds to the rupee, because there is no fifty-paise coin in the drawer and the number you say out loud has to be the number that prints.

The customer has no GSTIN and no patience

Most of your bills are walk-ins paying cash who will not stand there while you type a name, an address and a tax number. Bill them straight through as a counter sale. The ones who do want a GST invoice get a party record with their GSTIN, and which bills went out with a GSTIN on them and which did not is kept for you rather than being reconstructed weeks later.

The refund goes back out of the same drawer

Somebody is back at six with what they bought at eleven and they want their money, not a note in a file and not a credit to use next time. Raise a credit note against that bill: the piece goes back on the shelf, the sale reverses in the accounts, and the cash you count out is recorded as a payment out to that customer — so the drawer being short by exactly that much has a document behind it instead of being a hole you explain to yourself at closing. A bill rung up wrong is cancelled and reversed rather than rubbed out; the number stays in the sequence and the day's total is still a figure you can stand behind.

The drawer never matches at closing

Cash, UPI and card land in three different places and only one of them is countable. Put a UPI QR on the bill so the customer scans and pays into your own UPI, record each receipt against the bill it settled, and the drawer at 9pm becomes a comparison you can make in a minute instead of an argument you have with yourself.

You find out what sold when you run out

A customer asks for the one thing that moved fast all week and the shelf is empty. Low-stock alerts flag the fast movers before that happens, the stock register shows what came in and what went out, and bill-wise and party-wise profit tell you which lines are actually earning — because a line that turns three hundred pieces on a thin margin is not the same business as one that turns thirty on a fat one.

    Put your shelf into the system

    Add items with HSN, GST rate, purchase price and selling price, and set the unit each one sells in. Then print barcode labels for whatever came in bare, so the whole shelf scans the same way.

    Scan or type to add a line, adjust the quantity, apply a discount and let the round-off settle the paise, so the total on screen is the total you say out loud and the queue never waits on arithmetic.

    Print a thermal receipt at the counter or an A5 copy for anyone who wants one, and share a PDF or a link if they would rather have it on their phone. The UPI QR on the bill lets them pay on the spot; you record the receipt, or a part payment if that is all they have.

Scan to bill, label to scan

A barcode brings the item and its rate onto the line. Anything that arrives without one gets a label you print, so the whole shelf behaves the same way.

Keys, not clicks

Frequently asked questions

Can I make a bill without asking for the customer's name and GSTIN?
Yes. A walk-in cash sale can be billed straight through without creating a customer record, which is what most retail counters need. When somebody does want a GST invoice, add them as a party with their GSTIN and the invoice carries it.
Does it work with a barcode scanner and a thermal printer?
Yes. A standard USB or Bluetooth scanner types into the billing screen like a keyboard, so scanning adds the item straight to the line, and you can print barcode labels for stock that comes in without one. Thermal roll and A5 formats are part of the Business and Pro plans and the 14-day trial; on Free and Starter you print the standard invoice.
A customer wants cash back at the counter the same day. How do I do that?
Raise a credit note against the bill they were given: the item returns to stock and the sale reverses in the accounts. The cash you count out of the drawer is then recorded as a payment out to that customer, so the shortfall at closing has a document behind it. The original bill is never edited or deleted — its number stays in the sequence, which is what keeps the day's sales figure honest. If the bill was rung up wrong in the first place, cancel it instead and KhataZone reverses the stock and the accounts for you.
How do I know how much cash should be in the drawer at closing?
Record a receipt against each bill as it is paid, whether that is cash or a UPI transfer the customer made from the QR on the bill. The day's sales and the receipts recorded against them then give you the figure to count the drawer against.
Can I bill things I sell loose, like 250 grams or half a litre?
Yes. Quantity is not limited to whole numbers, so an item priced per kilo can be billed at 0.25, and you can set up your own units — kilo, gram, litre, packet, dozen — and put the right one on each item. Line totals, tax and the round-off all work off the decimal quantity, so weighed goods and packaged goods go on the same bill without any arithmetic on the side.
What if the internet goes down at the shop?
