Put your shelf into the system
Add items with HSN, GST rate, purchase price and selling price, and set the unit each one sells in. Then print barcode labels for whatever came in bare, so the whole shelf scans the same way.

- Can I make a bill without asking for the customer's name and GSTIN?
- Yes. A walk-in cash sale can be billed straight through without creating a customer record, which is what most retail counters need. When somebody does want a GST invoice, add them as a party with their GSTIN and the invoice carries it.
- Does it work with a barcode scanner and a thermal printer?
- Yes. A standard USB or Bluetooth scanner types into the billing screen like a keyboard, so scanning adds the item straight to the line, and you can print barcode labels for stock that comes in without one. Thermal roll and A5 formats are part of the Business and Pro plans and the 14-day trial; on Free and Starter you print the standard invoice.
- A customer wants cash back at the counter the same day. How do I do that?
- Raise a credit note against the bill they were given: the item returns to stock and the sale reverses in the accounts. The cash you count out of the drawer is then recorded as a payment out to that customer, so the shortfall at closing has a document behind it. The original bill is never edited or deleted — its number stays in the sequence, which is what keeps the day's sales figure honest. If the bill was rung up wrong in the first place, cancel it instead and KhataZone reverses the stock and the accounts for you.
- How do I know how much cash should be in the drawer at closing?
- Record a receipt against each bill as it is paid, whether that is cash or a UPI transfer the customer made from the QR on the bill. The day's sales and the receipts recorded against them then give you the figure to count the drawer against.
- Can I bill things I sell loose, like 250 grams or half a litre?
- Yes. Quantity is not limited to whole numbers, so an item priced per kilo can be billed at 0.25, and you can set up your own units — kilo, gram, litre, packet, dozen — and put the right one on each item. Line totals, tax and the round-off all work off the decimal quantity, so weighed goods and packaged goods go on the same bill without any arithmetic on the side.
- What if the internet goes down at the shop?
